The Marketing Operations Manager coordinates activities related to the day-to-day management and operation of the Marketing Department. The position reports to the Director of Operations and interacts directly with the Chief Marketing Officer (CMO) and other department leaders, you will liaise with marketing leaders, learning and development and finance to foster an environment that drives operational excellence.
We are looking for a candidate with a strong foundation in business operations, financial management, and data management, S/He leverages technology to efficiently execute activities, as well as identifies new opportunities to apply technology to improve department operations. In addition, this role manages the Marketing Administrative Assistant assigned to support the department's Director team.
Staffing & Development
Coordinate the department's marketing onboarding program by collaborating with key resources within Marketing, Learning and Development, and other areas to ensure new hires are provided with access to core training when they join the team and/or change positions
Coordinate the department's mentoring program, including managing the communications, mentoring training and mentoring best match system Maintain department staff documentation including the organizational chart, department email distribution lists and access lists
Liaise with the Human Resources department to communicate staffing processes and procedures to relevant members of the Marketing Department
Liaise with the Learning and Development team to identify potential training opportunities that would be relevant to members of the Marketing team
Coordinate membership and/or participation in professional associations such as the Legal Marketing Association (LMA) and International Legal Technology Association (ILTA) and their related activities
Department Organization & Communication
Coordinate the monthly department video conference and other scheduled meetings including managing logistics and coordinating with the CMO and department leaders to develop the agenda(s)
Organize and maintain a department resource that addresses frequently asked questions, department standards and best practices
Manage the organizational structure within the firm's document management system to facilitate saving and sharing content across the department
Manage the Marketing Administrative Assistant assigned to support the department's Director team including establishing best practices, identifying training and development opportunities, soliciting feedback from the Director team and addressing performance issues
In coordination with the Chief Marketing Officer, Director of Global Business Development, and Functional Directors, manage and oversee the preparation, review and approval of GPL/PAT, office and departmental budgets. Policies & Procedures
Liaise with procurement to manage marketing vendor contracts and operational expenses.
Assist the CMO with his interactions with the firm's Office of General Counsel (OGC) including tracking open issues and documenting OGC guidance
Document and communicate disclaimer and disclosure requirements as they relate to marketing materials and content
Document and communicate restrictions and usage guidelines regarding references to clients and/or their matters in marketing materials and content

Education and/or Experience:
Bachelor's degree from a four-year college or university
Minimum of 10 years of relevant experience working in the marketing department of a large law firm or professional services firm with a history of increasing responsibilities
Demonstrated ability to manage multiple projects as well as on-going assignments with competing deadlines and priorities
Excellent verbal and written communication skills including demonstrated ability to communicate effectively with all levels of the organization
Minimum of three years supervisory experience including recruiting, performance management and development responsibilities
Demonstrated ability to work independently and efficiently and to coordinate multiple “dotted-line” relationships with department and firm leaders
Proficiency with MS Office suite including Word, Excel and PowerPoint
Experience working with key technologies including CRM, experience management systems, document management systems and intranets
Experience implementing and managing processes including handling communications, training and on-going support
