Reporting to the Director of Content and Digital Services, the Associate Marketing Project Manager will be an organized, detail-oriented, and reliable individual whose primary role will be to support the Content and Digital Services team in managing the process of multi-channel marketing projects and the production of those projects as required, with a secondary focus on oversight of brand team paid and organic media communications on an ad hoc basis. A jack-of-all-trades, this individual will provide critical support to the Marketing team by ensuring the timely and efficient flow of information, resources and materials across the various parts of the Marketing Department (Brand Marketing, Creative Services, Digital Services, and Content Services) as well as other parts of the broader Boston Symphony Organization.

 

RESPONSIBILITIES

  • Administer and manage traffic and production details for projects executed by Content and Digital Services team on behalf of the Marketing team and the broader BSO
  • Develop work schedules to ensure that projects and processes are on schedule and that stakeholders are aware of their role and timing in projects
  • Develop viable solutions for any workflow delays that may affect deadlines by identifying opportunities to adjust and revise work processes in order to increase efficiency
  • Conduct regular meetings to ensure that staff are aware of the current status and key milestones and deadlines of all projects
  • Prepare daily priority lists, and weekly project status reports to ensure the smooth flow of projects, communicating problems, potential problems and changes to project teams as needed
  • Assist Marketing and Audience Development team members in the production of projects including print and digital advertising assets, direct mail/brochures, and other printed materials
  • Oversee and manage the BSO’s creative project management tool, Robohead, in order to provide administrative support to Content and Digital Services team members
  • Manage paid and organic media projects on an ad hoc basis as needs arise
  • Provide administrative support across the department, at the direction of the Director of Content and Digital Services
  • Support Website Manager with execution of content updates through web ticket (Zendesk) requests, when website is down or when content issues arise, assisting in scheduling and posting of content as needed
  • Partner with Artistic Administration, Box Office, Corporate Partnerships, Development, Education & Community Engagement, Event Services, Information Technology, Media, Public Relations, Publications as projects require

QUALIFICATIONS:  

  • Bachelor’s degree a plus
  • 4-6 years of experience as project manager or similar role ideally within a Marketing department and working with creative departments and in digital environments
  • Excellent written and verbal communication, presentation, and creative skills
  • Detail-oriented, proactive, punctual, organized team player with strong multi-tasking skills
  • Demonstrated ability to take direction, follow established processes and develop new ones
  • Knowledge of Classical Music a plus
