Description:
The Program Coordinator perform duties involved in the administration of strategic initiatives, marketing events and other College operations. The Program Coordinator will work closely with the Executive Director of Strategy and Marketing as well as Director of Communications and Project Manager. The person will collaborate with Marketing, Advancement, HR, IT and Facilities Teams to successfully execute strategic projects and manage College level events end-to-end.
Duties & Responsibilities
Program Coordination:
Responsible for implementing strategic program priorities, setting goals, and objectives for subordinates in the ongoing process of a program;
Assist in the development and administration of programs, and special projects; responsible for various financial operations of the project and/or events; advises on budget preparation as required;
Responsible for the management of resources, determination and supervision of staff functions; coordinates the recruitment, training, and management of work assigned to professional and support staff;
Sets and interprets operating policies and processes for the unit; reviews, initiates programs and operations; establishes policies relating to utilization of office resources;
Participates in departmental objectives and long-range planning;
Provides management reports, analyses, data, and information for administrative purposes; assists with grants or related funding sources;
Acts as point of contact with campus, agency and university departments and represents the senior administrator on various committees.
Coordination of College Level Events:
Plan and manage Alumni and External Stakeholder events (Alumni and Strategic Advisory Boards, CDS Midwinter Alumni Reception, Alumni Reunion);
For assigned events, oversee and account for details related to those events, including but not limited to mailing lists, collateral materials, registration management, room set up, coordination of catering, linens, florals, furniture rental, audio visual, scripts, gifts, mementos, expenses, honorarium, and serving as a main day-of point of contact;
Assist internal College Departments with various Departmental level events by providing resources for venues, caterers, photographers, and audio visual companies;
Coordinate and execute special initiatives within the College such as the monthly Sparky Awards, job fairs, career fairs, appreciation week, town halls, conferences et;
Collaborate with Marketing team for photography and video services.
Perform other Project Related Duties:
Assist in coordinating Continuing Education courses, manage certificates of completion, and maintain reporting/documentation;
Perform other related duties and participate in special projects as assigned.
Qualifications:
Bachelor's degree.
A total of (1) year (12 months) of professional experience in project coordination, event planning and management.
