Cornell University, a nationally ranked Ivy League institution, is looking for an Administrative Assistant V to join the Alumni Affairs & Development division (AAD) in Ithaca, NY. The staff of Cornell Alumni Affairs and Development (AAD), are devoted to engaging alumni, parents, and friends in the life of Cornell and helping Cornellians connect with one another and with the university throughout their lives.
The Administrative Assistant V provides high-level administrative assistance to a dynamic and innovative team that is accountable for communications, marketing, and participation-level giving. Reporting to the Executive Director for the office of Communications, Marketing, and Participation (CMP), this role assists the Executive Director and other members of the CMP Leadership Team (CMPLT) and will play a key role in keeping this acclaimed group moving smoothly and effectively during Cornell's $5B "To Do the Greatest Good" capital campaign.
The successful candidate will be a participating member of the department's leadership team, providing essential administrative support for initiatives that drive engagement and participation-level giving and progress towards campaign goals, as well as data and reporting associated with these initiatives. This role manages the Executive Director's calendar as well as scheduling partner and large-scale meetings for CMP. They will provide help for other key business processes, including job searches, file and asset management, purchasing, and acting as a delegate for oversight of the CMP operating budgets. They also support internal and external communications, including the student engagement center. They will assist with research and content production, partner communication and presentation assistance, and maintenance of the CMP presence on the AAD intranet. They also provide project management support on an as-needed basis.
Required Qualifications:
- Associate's Degree and 4 to 6 years relevant experience or equivalent combination.
- Excellent communications & relationship-building skills
- Strong computer experience and a genuine interest for learning and leveraging new technology to improve the efficiency and effectiveness of the department
- Self-motivated learner who is open to experimenting with new approaches and has a hunger for data and the aptitude for organizing that data efficiently
- Experienced in the use of presentation software
- Demonstrated aptitude to coordinate the flow of large volumes of work and information.
- Must be highly organized and capable of prioritizing and overseeing multiple assignments when faced with very tight deadlines
- Work proactively, exercise excellent judgment, and work well under pressure while juggling a variety of tasks
- Positive approach toward leadership and sensitivity in working with alumni and staff
- Experience using Microsoft Office Applications, including Word, Excel, and PowerPoint
Preferred Qualifications:
- Experience in a high-paced office environment
- Comprehension of database procedures and data management software
- Experience providing guidance at the senior management and/or executive level and/or working in a PR or creative agency or on a communications/marketing team
- Experience using PeopleSoft, Tableau, SQL coding, Basecamp, SharePoint, Adobe, Google Workspace preferred

- This position is designed to provide a hybrid work model. The successful candidate would be able to choose:
- Working on campus three days per week with a dedicated workspace and working remotely two days per week

- Working on campus two days per week in "hoteling space" and working remotely three days per week
- This position is located in Ithaca, New York. The New York Convenience of employer guidelines require New York State individual tax reporting and withholdings for this position. Additional individual state income tax filings may also be required if working temporarily outside New York State.
