Job Summary
Caltech's Office of Strategic Communications (OSC) is responsible for promoting understanding, inspiring support, and amplifying awareness of the Institute's research, people, accomplishments, and legacy across print and digital platforms as well as through events.
Our team members work closely with partners across campus to communicate the Institute's worldwide impact on science, engineering, and education, and to authentically represent its values and priorities.
The Marketing and Communications Specialist is a member of the Strategy and Community Engagement team, which plays a central role in shaping the direction of Institute communications overall, and in informing how OSC presents Caltech and the work of its research and education community to a broad range of audiences, across multiple communications channels (e.g., websites, email, social media, public events, magazines, print publications, community/partner publications).
The Marketing and Communications Specialist is a newly reimagined position, with opportunities for development and to exercise creativity. The specialist will be responsible for executing marketing plans across digital and print channels to promote and extend the reach of Caltech events and strategic communications initiatives. He/she/they will manage the Public Programming social media account, email communications, and website.
Reporting to the Associate Director, Communications Strategy and Planning, the Marketing and Communications Specialist should be proactive, nimble, strategic, organized, technically savvy, and collaborative.
The successful candidate will be able to work productively with team members across OSC as well as partner with other individuals and groups across campus (including faculty and other researchers).
Essential Job Duties
Marketing and Communications
Ensure that OSC events are listed on internal and external calendars and e-newsletters
Working with media relations colleagues in OSC, assist in development and distribution of media advisories on events
Working with Public Events Manager, conceptualize, write, and publish event content, including event descriptions, participant bios, post-event recaps, and pre-event preview stories, for the Caltech homepage and other channels (for example, campus partner newsletters)
Project-manage, draft, design, and send monthly events e-newsletter, in collaboration with colleagues in OSC (editors, event managers, graphic designer)
Maintain event-related email lists in Mailchimp
Working with the team's Associate Director and Director as well as OSC Social Media Manager, assist in development of assets to support social media and paid advertising campaigns
Other
Working with the Public Events Manager, keep Caltech events website up to date and propose improvements to design, usability, and content as opportunities arise
Assist in production and distribution of creative assets, including slides, event graphics, printed programs, signage, etc.
Integrate Caltech Science Exchange materials and other OSC-produced content within events and vice versa
Help track, and report metrics to measure success of communications initiatives
As needed, assist Public Events Manager in staffing the Institute Programs Committee, the faculty committee whose members oversee the signature Watson Lecture Series
As needed, assist Engagement and Outreach Specialist on Caltech Science Exchange events and content
Other duties as assigned
Basic Qualifications
Bachelor's degree or equivalent
Two or more years of experience in an event or communications-related position
Ability to write and communicate ideas clearly
Proficiency in Mailchimp, web content management systems, Google Analytics/other analytics software, and Adobe Creative Cloud (Photoshop, InDesign, Illustrator) or willingness to train and become proficient in all
Initiative to do research, problem-solve, and participate in department-wide discussions and initiatives
The ability to work both independently and collaboratively and manage multiple deadline-driven projects
Ability to prioritize tasks and know when to seek guidance
An appreciation for science and the wonders of the world
