Alumni Affairs and Development (AA&D) comprises the University Development Office (UDO), Faculty of Arts and Sciences (FAS) Development, AA&D Resources, and the Harvard Alumni Association (HAA). There is a unique relationship between the University and the FAS fundraising operations, resulting from a long history in which University fundraising ultimately grew out of College fundraising.
AA&D ResourcesAA&D Resources encompasses teams that support all units across AA&D plus all schools and units across the University. AA&D Resources includes Technology and Support Services, Business Process and Operations, Alumni and Development Services (ADS), Administration and Finance, Events, Communications Creative Services, Research and Prospect Management, Human Resources, and the AA&D Talent Program.
As a member of the Operations team, this full-time, non-exempt position will coordinate, execute, support, and report on a variety of email marketing campaigns across Alumni Affairs and Development (AA&D). The Coordinator is responsible for the set-up, testing, deployment, and reporting for an assigned portfolio of email campaigns. The coordinator will also manage project timelines and communicate with email stakeholders regarding project requirements, status, and deadlines.
- Create marketing emails in Salesforce Marketing Cloud for assigned projects using standardized templates and processes.
- Coordinate with internal stakeholders and partners on email project requirements, delivery of assets, and production timelines.
- Perform Quality Assurance testing on emails through Litmus and test list deployments to ensure content accuracy, rendering across email devices and browsers, and link functionality.
- Coordinate, prepare, upload, and test subscriber lists and test lists required for email deployments.
- Coordinate stakeholder proofing of emails, process edits and feedback from reviewers, and manage final approval process.
- Schedule email sends, confirm scheduling with stakeholders, and monitor deployments for completion and deliverability.
- Generate and distribute post-deployment metrics to email stakeholders.
- Monitor overall email deployment calendar in relation to assigned email projects to ensure optimal email frequency and cadence.
- Troubleshoot and resolve any issues that arise relating to email creation, deployment and delivery.
- Provide guidance to stakeholders on available email functionality and consult with Engagement Applications for new product features as needs arise.
- Proactively review requested email deployments for scheduling issues, content suitability (proofing appropriate to Harvard Brand) and manage issues with stakeholders.

- Minimum 2+ years' experience in nonprofit marketing, communications, administration or transferable experience.
- Understanding of email marketing best practices and anti-SPAM law compliance.
- Ability to manage multiple, concurrent projects from a variety of stakeholders.
- Successful experience working under tight deadlines.
- Experience with Email Service Provider tools. Preference given to experience with Salesforce Marketing Cloud.
- Experience with HTML editors and coding, Adobe Photoshop, and Litmus.
Familiarity with databases and list management.
- Exhibit exceptional attention to detail, organization, and can produce high-quality work in a fast-paced environment.
- Motivated to learn, flexible to change, and innovative.
- Ability to effectively communicate with stakeholders at various levels with a variety of backgrounds.
- Creative and proactive yet disciplined, discriminating and able to streamline work volume to maintain bottom line efforts in midst of multi-tasking and daily re-prioritizing, with manager's guidance.
- Proficiency with MS Office required. Experience with SQL, Toad, ADVANCE and Qlikview and other Business Intelligence technologies desirable.
- Bachelor's degree preferred.
