The Greater Providence Board of REALTORS® is seeking an enthusiastic, professional, self-starter with strong organizational, technical and office skills to work in partnership with the Chief Executive Officer to assist in the daily activities related to multiple Associations.
The ideal candidate will have had experience in a membership organization and can appreciate the variety our unique environment provides. The candidate should be comfortable with helping others grow and develop, who can embrace our mission of increasing professionalism, encouraging volunteerism, helping its members become more knowledgeable and our commitment of working together to address the challenges of a fast-paced and fast-changing industry.
The position requires strong verbal and written communication skills, a patient manner and professional demeanor. This position interfaces daily with Association members and involves regular membership communications. The following is a general description of job duties but is not all inclusive due to conditions and requirements that can change and may become present on any given day.
Greets visitors in a polite, professional manner.
Answers telephone calls from members and the general public, appropriately addressing the caller and/or forwarding to the proper party.
Retrieves and responds to voice mail messages.
Collects and distributes incoming correspondence.
All other duties as assigned by the CEO.
Assists with the processing of annual membership renewals in three Association Management Systems.
Assists with the processing of new and/or changes to members and firms in three Association Management Systems.
Prepares membership letters of good standing.
Maintains education records in 3 RAMCO membership database systems, including the REALTOR® Code of Ethics class.
Distributes course certificates of completion appropriately.
Compilation of membership statistics.
Knowledge of membership options, requirements, and fee structures.
Candidate will work cooperatively with the Membership Director.
Assists in the development and distribution of email, print and web announcements regarding the various organizations’ programs and courses.
Creates and sends print and email mail merges.
Assists in the development and distribution of print and email quarterly newsletters.
Maintains 3 online calendars and 3 websites.
Program and Events
Assists in the preparation of meeting and class materials, room setup and breakdown.
Maintains registration lists for the organizations’ events and meetings.
Assists with executing the programs of GPBOR C.A.R.E.
Special projects as needed.
Websites & Online Calendars- updates and maintenance
Proficient in Windows 7 or higher & Microsoft Office Suite (this includes Word, Excel, PowerPoint, Outlook)
Adobe Acrobat X Pro or higher
Knowledge of Adobe Photoshop or graphic design would be helpful
Mail Merges – both electronically and printed
Comfortable with technology and ability to learn and maintain multiple programs/platforms
Set up and operate audio/visual as needed
Bachelor’s Degree preferred
Excellent organizational skills with the ability to multi-task priorities related to 3 unique REALTOR® Associations on any given day.
Ability to speak concisely and effectively communicate
Ability to work several evening events per year
Ability to enter/view data for long periods of time
Ability to sit for long periods of time
Ability to maintain the confidentiality of member and association data
Ability to retain information gathered through the training process
Ability to work well under pressure and meet deadlines
A self-starter with the ability to work independently
Attention to detail - neatly and accurately prepares all information, letters, and
Will gain an understanding of and adhere to the Boards’ Bylaws, Policies and Procedures, rules and regulations of the State and National REALTOR® Associations.
Dependable transportation and ability to staff our office in Cumberland as needed (open 2 days a week).
Applicants with an active real estate license are ineligible unless willing to inactivate their license prior to employment.
