This position is based in Dubai (DIFC) and is responsible for providing administrative and client service support to RMs within the front office function.
Main Duties Provide administrative and client service support to the Investment Counsellor team:
Manage the mailing list:
Ensure all emails are sent in a timely manner,
Coordinate with more than 25 RMs for adding/deleting names from the respective mailing lists
Ensure that the list is always up-to-date and remove any non-functional email addresses from the list
Work closely with the PMG/TAPD Team for product launches
Liaison with the respective product teams on the admin front (printing out presentations; setting up the meeting rooms prior to calls etc.) to ensure a smooth launch for each product
Maintain an extensive spreadsheet for order tracking and book building especially for FMPs where the MA would first verify eligibility criteria and then take down and amend orders
Coordinate with the respective visitors to set up their meetings while they are in Dubai and update their schedules accordingly. This will also include working closely with the RMs
Share and forward any product launches with the broader team especially time sensitive launches such as FCNs, Accumulators, etc.
Speak with the admin team to accommodate any requirement for the guests while they are in Dubai
Bloomberg data/updating Bloomberg linked files and pricing requests
Refresh the price for existing and new proposals
Email back the RMs with the refreshed pricing via Bloomberg linked spreadsheets
Update existing proposals by refreshing pricing in Bloomberg
Reach out to the fixed income desk for FIRM pricing for some orders for the RMs
Liaise with the fixed income desk for execution-only templates for reverse inquiry bond purchases
Coordinate with the desk for respective sales note for all types of products such as CLNs, FCNs, etc.
Data mining and analytics
Analyze our existing books and filter out as per the desk's recommendation the securities that need to be SWITCHED etc. and forward it to the respective RMs
Look through our books and update us of any structured products that might be close to fixing or any bonds close to maturity etc.,
Liaise with the corporate actions team for any corporate actions related matters and update the ICs accordingly
Assist with basic RM requests
Walk new RMs through the intranet and show them where to find the relevant materials
Help RMs with the basic functionalities of Bloomberg
Send RMs screenshots of the required pages
Send RMs the ISINs for requested securities
Refresh the pricing on existing proposals
Assist RMs with stress test and lending value updates
Minimum 3-5 years' relevant experience in client servicing, operations or sales support within financial institutions
Strong understanding of financial products and services
Excellent interpersonal, communication and client interfacing skills
