Major Functions: Provides administrative functions and support of select programs/events for the chapter. Manages the chapter’s communications, marketing and external communications to support promotion of events and activities of the chapter. Layout and design for all marketing materials including registration flyers, marketing materials and quarterly magazine.
Communications and Marketing
Areas of Responsibility:
Enter all registrations for chapter event and training seminar information into database for registration, attendance tracking, and billing purposes.
Manage all registrations including companies, individual names and payment. Process all payments and track all registrations into excel tracking sheet and database.
Track all partnership credit usage for all events and apply credits or inform companies of payment needed.
Ensure that upcoming event flyers are current in the mail room.
Prepare name tags and registration lists for day of events.
Oversee the ordering and tracking of PAC badges.
Provide other event support as needed.
Communication, Marketing and Business Development:
Serve as editor for the quarterly magazine “Merit Builder”, the annual chapter directory and any other special publications.
Serve as publisher and oversee all written communications to all internal and external customers.
Updates and maintains the chapter’s website.
Layout and design for all chapter publications, flyers, brochures, banners, and signs.
Coordinate advertising sales for chapter publications.
Create press releases and public service announcements, as needed, for area media and special trade publications.
Grade all incoming tests for apprentices enrolled in the Wyoming Correspondence Course and filing tests/certificates.
Maintain database to include:
Assist in updating all member contact information.
Update all new members into database, including contacts, CSI and Division Codes along with entering them into appropriate committee lists.
Assist with mailings, preparation for events and other miscellaneous duties as needed.
Assist with assembling membership packets, class binders, and other projects as needed.
Occupational Specific: Layout and design, marketing/communications coordination and event support.
Technical Skills: Proficiency in Adobe InDesign, Constant Contact, E-mail, Internet, telephone, MS Office (Outlook, Excel, Word, Access Database).
Personal & Professional: Customer service, listening skills, telecommunications, time management, efficiency, accuracy, follow through, organized, creative, and detail oriented.
